If you are looking to organise a large corporate event or conference this Autumn and haven’t yet started organising, then you will need to get your skates on. Clients often come to us with last minute autumn conference queries. Here is what we suggest:

Dates

If you are able to, try to keep your dates as flexible as possible. Hotels tend to get their September, October and early November dates booked up very fast. Often however, they are able to accommodate bookings in late November and early December.

Think November

Wanting to host your conference abroad but think it is out of your budget?  Some stunning seasonal hotels that close in November are often open to extending their dates by a week or so in order to accommodate a large corporate booking of 40 bedrooms plus. We have an excellent relationship with these such hotels – often clients are able to privatise the entire hotel at a fraction of the cost than it would have been just a week or two earlier!

Location

Think outside of the box when it comes to your next conference location. Some wonderful large venues located just outside the major city hubs can offer fabulous corporate conference experiences. As they are not so well known, chances are they may be able to accommodate last minute conference requests and at more reasonable prices. A number of large conference properties along the M4 corridor are easily accessible to all and just a few miles away from main cities like Birmingham and Manchester.

Weather

Think weather!!! Most corporate clients who host their events aboard look to sunnier climates for their autumn conferences.  Sadly the weather doesn’t always play ball so always ensure that every event plan and logistic has a wet weather option alternative.

Visas

If you are looking to go abroad then remember that some visa applications can take up to 6-8 weeks, so always factor this in when sending out your save the dates to delegates.

last minute options

If you are leaving event planning for your Autumn conference to the last minute, please be aware that the summer season can delay things. Most European cities tend to slow down (or even shut down!) in August, so be aware if you are working with European suppliers for AV and/or entertainment. Never leave this to the last minute! Content creation is a vital part of your corporate conference, yet it is often left to the last minute. If you are looking to wow your audience with new presentation formats, such as Prezi, bear in mind that these can often take several weeks to create.
